Recurring contracts
For customers you visit on a schedule, like weekly office cleaning or monthly maintenance. You set it up once, the customer signs online, and the visits go on your schedule each month, billed together on one monthly invoice.
How to set up a recurring service
- Click Recurring Work in the left menu, then New Service.
- Choose the Client and Location, and name the service.
- Choose the Assigned Employee and, if you use one, a Checklist Template.
- Set the Frequency: Daily, Weekly, Bi-weekly, Monthly or Custom (for example every 3 weeks). Pick the day or days of the week.
- If different days need different times or crews, untick Same time every day and set each day separately.
- Enter the Monthly Contract Amount ($), Start Date, Start Time and, optionally, the Billing Day of Month.
- Click Create Service.
Prefer a calculated price? Use the Pricing calculator on the form and click Apply to Service.
How to bundle several services into one agreement
Use an agreement when one customer gets several services, like weekly cleaning, monthly floor care and quarterly windows, and should sign once.
- Click Bundled Agreements in the left menu, then New Agreement.
- Choose the Client and an Agreement Name.
- Click Add Service Line for each service. Each line has its own frequency, days, crew and Monthly Amount ($).
- Click Create Agreement. To add a service you already set up, use Attach Existing Service.
How to send a contract for signature
- Open the service or agreement and click Send Contract. Tick any extra contacts to CC.
- The customer opens the link, types their name, ticks the agreement box and clicks Accept Service Agreement.
- The contract shows Active. You can also click Copy public link to send the link yourself, or View PDF.
Already agreed in person? Click Activate.
How visits get on the schedule
- Automatically: from the 20th of each month, JobTill adds next month's visits for your active contracts. It only fills in visits that are missing. It never moves or re-adds a visit you changed or deleted. You can switch this off in Settings → Company → Recurring Visits.
- By hand: on the Schedule page, click Generate <Month> Jobs. It creates missing visits and updates future visits that haven't started to match the contract's current days, times and crew. It tells you what it created, changed or removed.
New contract this month? Visits for the current month aren't added automatically. Click Generate <Month> Jobs on the Schedule page after the customer signs.
How to change, pause or end a contract
- Edit changes the days, times, crew or price. Run Generate Jobs to update visits already on the schedule.
- Pause recurring service stops new visits. Reactivate service starts them again.
- Cancel recurring service ends it, and the job history is kept.
- Changed a checklist? Click Apply checklist to scheduled jobs to update upcoming visits. Work already done isn't touched.
How to bill it each month
Recurring customers are billed in Monthly Review: one invoice per customer per period, checked by you before it's sent. See Invoices & payments.
