Add-ons
Add-ons are extra charges on top of the agreed work, like a repair spotted on site or an extra service the customer asks for. Crews report them with a photo, the office prices them, and the customer can approve them online.
How to report a charge from the field (crew)
- Open the job in the field app and find Add-On Charges.
- Tap Report charge.
- Choose a Charge Type: Extra Work, Additional Service, Materials / Supplies, Repair Request, Special Request or Other.
- Write a Description, or tap From Services to pick one from your price list.
- Tap Attach Photo to add photo evidence.
- Tap Submit for Review. The office is notified.
Crews don't set prices. The office does that in the next step.
How to price and approve a charge (office)
- Click Add-Ons in the left menu. New charges are on the Needs Review tab.
- Open the charge. In the Review card, enter the Price ($) and click Set Price.
- Check the Description and Billing Status, and add a Scope of Work if helpful.
- Click Approve, or Decline if it shouldn't be charged. A price is needed before you can approve.
How to ask the customer to approve a charge
- On the charge, set the price, then click Preview & Send to Client.
- Check the EMAIL PREVIEW, including the crew's photos. Add anyone under CC (optional).
- Click Send to Client. The charge shows Sent to client — awaiting their response.
- The customer approves by typing their name, or declines with an optional reason, in their customer portal. You're notified either way.
To add one of the job's photos to the charge, click Add from job under Photos.
How to add a charge from the office
- On the Add-Ons page, click New Charge.
- Choose the Client, Charge Type, Price ($) and Billing Period.
- Set the Approval Status. Choose Needs Client Approval if the customer should sign off.
- Click Create Charge.
How to turn a charge into its own job
For bigger extra work that needs its own visit:
- Open the charge and click Convert to Job.
- If asked, pick the location under Select a location…, then click Confirm.
- Click View Job to schedule it like any other job.
You can't convert a charge that's already on an invoice. Void that invoice first.
How approved charges get billed
Approved charges for customers on a recurring contract go on the next invoice in Monthly Review. An invoice that has already been sent doesn't change. A charge turned into its own job is billed with that job instead.
