Money & expenses

Where to see what you've billed, collected and are still owed, how to record expenses, and how to pull them in from your bank.

How to read the Money dashboard

  1. Click Money in the left menu.
  2. The top cards show Billed This Period, Cash Collected, Net Profit and All Unpaid Invoices.
  3. Money Stuck flags problems such as invoices 90+ days overdue. Click one to see the invoices behind it.
  4. AR Aging splits what you're owed into Current, 1–30, 31–60, 61–90 and 90+ days late.
  5. Further down: Revenue Trend, Estimated P&L, top clients, revenue and expense breakdowns, and recent expenses.

Profit figures are estimates built from what you've recorded in JobTill. Your accountant's books are the final word.

How to add an expense

  1. Click Expenses in the left menu, then Add Expense.
  2. Enter the Date, Amount ($), Category and Description.
  3. Optionally add the Vendor, and link it to a client or job so it counts against that job's profit.
  4. Click Add Expense. To attach a receipt, open the expense and use Upload receipt.

Money you take out for yourself goes under Owner Draws. It isn't counted as a business expense, so it doesn't reduce your profit.

How to bring in expenses from your bank

  1. Click Bank Feed in the left menu, then Connect a bank. Sign in to your bank through Plaid. JobTill never sees your bank password.
  2. New transactions appear under To review.
  3. For each one, pick a category and click Confirm expense, or Ignore it.
  4. Tick Remember vendor to suggest the same category next time. Tick Auto-confirm next time to file that vendor's transactions automatically.

Most banks connect through Plaid. A few large banks may not be available yet. If a connection shows Needs attention, click Reconnect. Disconnect stops the feed and clears transactions you haven't reviewed. Expenses you already confirmed are kept.

How to see what you spent at each vendor

On the Money dashboard, Where the Money Went lists this month's business expenses by vendor: how many expenses and the total at each, biggest first (the top 10 are shown). Expenses with no vendor are grouped as No vendor recorded. Owner draws are left out, so the list adds up to your total expenses. Expenses brought in from your bank feed carry the vendor automatically; for ones you add by hand, fill in Vendor.

How to use the AI money tools (early access)

Optional AI tools help you make sense of your money. They are in early access: email hello@jobtill.com to have them made available, then switch each one on under Features. Only admins can use them.

The AI only repeats figures that JobTill already shows you. It doesn't add things up or estimate. If an answer would need a figure that isn't on the page, it says so, and any answer that quotes a number JobTill doesn't show is thrown away. Answers aren't saved.

To do this, the figures are processed by our AI provider, Anthropic, with client names replaced by labels such as "Client A". For category suggestions, each transaction's description, amount and date are sent. Anthropic does not train its models on this data. See our privacy policy.

How to print a report or download CSVs

On the Money dashboard, click Print Report for a printable summary (use Print / Save PDF). Click ↓ Expenses CSV or ↓ Invoices CSV to download spreadsheets for your accountant.

How to see trends on the Reports page

Click Reports in the left menu for the last six months: revenue collected, contract and add-on revenue, active clients, visits, average invoice value, and charts by month.

Good to know

  • Expenses, Bank Feed and Money appear when the money tools are switched on under Features.
  • Expense categories are set up for your industry when you start. There's no screen to add new ones yet.
  • There's no QuickBooks sync. Use the CSV downloads instead.

Still stuck? Email hello@jobtill.com and a real person will answer the same business day.
