Clients & locations

A client is who you bill. A location is where the work happens. One client can have many locations, for example a property manager with several buildings.

How to add a client

  1. Click Clients in the left menu, then New Client.
  2. Fill in Business Name for a company. Leave it blank for a home customer, and the Contact Name is used instead. You need at least one of the two.
  3. Add Phone, Email and Billing Address. Invoices and quotes go to this email.
  4. Leave Client Type on Auto-detect (recommended) unless you want to set it yourself.
  5. Click Create Client.

How to import a client list

  1. On the Clients page, click Import CSV.
  2. Choose a CSV file: an export from Jobber or Housecall Pro, or your own spreadsheet saved as CSV (up to 2 MB).
  3. On Match your columns, check that each column in your file points to the right JobTill field, then click Continue.
  4. On the review step, check the counts and the preview. Use Show only problems to see rows that need fixing, and keep Skip clients that already exist ticked to avoid duplicates.
  5. Click Import. Nothing is saved until this step.

The import creates client records only. Add their locations and recurring contracts afterwards.

How to add a location

  1. Open the client and, under Locations, click Add Location.
  2. Enter a Location Name (for example "Main office") and the Street Address, City, State and ZIP.
  3. Use Access Notes for gate codes, key locations or who to see on arrival. Your crew sees these on the job.
  4. Click Add Location.

You can also add a client or location without leaving the page while creating a job.

How to add extra contacts

  1. On the client page, under Contacts, click Add contact.
  2. Enter their Name, Title / Role, Email and Phone, then click Save Contact.

Contacts can be ticked as CC when you send a quote, invoice or add-on. To change a contact's details, remove them and add them again.

How to set a client's billing day

Open the client, click Edit, and set Billing Day of Month (1–28). Their monthly invoice then covers that day to the same day next month. Leave it blank to bill by calendar month (the 1st to the end of the month). Saving a recurring contract with a billing day fills this in for you if it's empty.

How to remove a location

  1. Open the location and click Edit.
  2. Click Remove location, then Remove.

The location stops appearing in pickers, but nothing is deleted. Jobs and contracts already booked keep their address. A location with an active recurring service can't be removed until that service ends.

How to find a client

Use the search box on the Clients page (name, contact, email or phone), or the chips to show only Contract, Repeat or One-time clients. A client's page shows their locations, recurring work, add-ons, recent jobs, files and the emails sent to them.

How to handle new inquiries (Leads)

Every inquiry lands in Leads in the left menu. People can send one from your request page (the link at the top of Leads, with a Copy button) or from your website's contact form if it's connected. You get an email for each one, and the person gets an automatic reply if they gave an email.

  1. Open the lead. Tap the phone number or email to get in touch, then click Mark contacted.
  2. When they want a price, click Convert & start quote. This adds them as a client and opens a new job with their message filled in. A lead stays out of your client list until you convert it.
  3. From then on the lead follows its job. It shows Quoted while the quote is open, Won once the quote is accepted or the job is booked, and Lost if you mark the quote as lost or the job is cancelled. Use Open job on the lead to go to it.
  4. You can set Won, Lost or Spam yourself at any time, and it stays as you set it. Mark contacted and Quoted are only offered before a job is started, because after that the lead follows its job.

If the person is already a client (same email or phone), the lead is linked to their record instead of creating a duplicate. Spam is hidden from All; pick the Spam chip to review it.

How to log a phone call as a lead

  1. On Leads, click New lead (or use + New at the top of any page, then New Lead).
  2. Under How did they reach you?, pick Phone, Text, Email or In person.
  3. Enter their Name, a Phone or Email, and What do they need?, then click Save lead.

Still stuck? Email hello@jobtill.com and a real person will answer the same business day.
